Connecting WhatsApp (Meta Cloud API)

Use Meta's WhatsApp Cloud API to send new-lead alerts through a WhatsApp Business number.

What you need

  • A Meta Business Manager account.
  • A WhatsApp Business Account connected to that Business Manager.
  • A verified WhatsApp Business phone number or sandbox number for testing.
  • Approved message templates if you plan to send outside the customer-service window.

Generate a permanent access token

    Open Business Settings -> System Users

    Create or choose a system user named LeadToSheet.

    Assign WhatsApp assets

    Give the system user access to the WhatsApp Business Account and sending phone number.

    Generate the token

    Generate a token with whatsapp_business_messaging. Add whatsapp_business_management if you will manage templates from the same token.

Find your phone number ID

The Phone Number ID is not the phone number itself. It is Meta's internal ID for the WhatsApp Business sending number.

    Open WhatsApp Manager

    Open WhatsApp Manager from Business Manager and choose the WhatsApp Business Account.

    Open Phone Numbers

    Select the sending number and copy the Phone Number ID from the details panel.

Configure the destination on a Route

With the connection saved, add WhatsApp as a destination on a Route and fill in the per-route fields:

  • Recipient phone — the number that receives the alert, in E.164 format (e.g. +15555550100). One destination row sends to one recipient; add another row for additional recipients.
  • Template name — the name of an approved message template in your WhatsApp Business Manager. LeadToSheet passes lead values like the lead's email and full name as positional parameters.
  • Language code — the template's language, defaulting to en_US. Override if your template was approved in a different locale.
  • Free-form message (optional) — a plain-text body. If you fill this in, LeadToSheet always sends the plain-text message instead of the template. Plain-text messages only reach people who have messaged your WhatsApp number in the last 24 hours; sent outside that window, WhatsApp rejects them. Leave this blank to always use your approved template.

Tip

WhatsApp only allows free-form text to recipients you've heard from in the last 24 hours. For cold alerts to a sales rep who hasn't replied to the bot today, the template path is the only one that works.
